The Universal Account Number (UAN) has revolutionized the administration of the Employees' Provident Fund (EPF). For employers, understanding and managing UANs efficiently is a core component of EPF compliance.

What is a UAN?

A UAN is a unique 12-digit number allotted by the Employees' Provident Fund Organisation (EPFO) to every employee contributing to the EPF. The fundamental principle of the UAN is "One Member, One UAN." It acts as an umbrella for the multiple Member Identification Numbers (PF Account Numbers) an individual might receive throughout their career as they change jobs.

Employer Obligations Regarding UAN

Employers have specific responsibilities regarding their employees' UANs:

  • Generation for New Hires: If a newly joined eligible employee does not have an existing UAN, the employer must generate one for them through the employer portal.
  • Linking Existing UANs: If a new employee already possesses a UAN from previous employment, the employer must link the new PF account to this existing UAN rather than creating a new one.
  • KYC Seeding and Approval: Employers must facilitate and approve the linking of Know Your Customer (KYC) details to the employee's UAN. Essential KYC documents include Aadhaar, PAN, and Bank Account details. Aadhaar linking is particularly critical for online services and timely claims processing.

  • View and download their EPF passbook online.
  • Apply for PF transfers online when changing jobs, moving funds seamlessly under the same UAN.

Employers often need to handle UAN-related issues, such as mismatches in employee details (name, DOB) between the EPFO database and Aadhaar, which prevent KYC seeding. Addressing these requires guiding employees through the joint declaration process to rectify records.
